Participant Terms and Conditions

1. Definitions

In these Terms:

• Australian Consumer Law means Schedule 2 of the Competition and Consumer Act 2010 (Cth) and any equivalent State or Territory legislation.
• Conference means the Chosen Conference 2026, organised by Jesus Youth Australia and scheduled to be held at La Trobe University, Bundoora, Melbourne from 19 to 22 November 2026 (inclusive).
• Conference Site means La Trobe University, Bundoora, Melbourne, or any other site, location, or premises where the Conference is located or otherwise held or as designated from time to time.
• Consequential Loss means: (a) any form of indirect, special, or consequential loss, including loss of reputation, loss of profits, loss of actual or anticipated savings, loss of bargain, and loss of opportunity; and (b) any loss beyond the normal measure of damages.
• Force Majeure Event means any event arising from or attributable to acts, events, omissions, or accidents beyond our reasonable control, including but not limited to outbreaks of infectious disease, pandemics (including COVID-19), epidemics, laws and government orders or directions relating to quarantine, restrictions on business operations and/or the movement of people, fire, flood, or adverse weather conditions.
• Group Leader/s means a Participant (aged 18 or over) registered as a group leader responsible for leading and supervising other Participants within an allocated and designated group, including any Young Participants.
• JY Australia Personnel/s means all Jesus Youth Australia directors, employees, officers, agents, volunteers, and authorised contractors.
• Participant/s means you and any person on whose behalf you have registered for or purchased a place at the Conference.
• Registration Fee means the price charged by us to register for and attend the Conference, including all administration, processing, and booking fees.
• Services means any services we provide on or through our websites, including but not limited to the Conference and any related activities.
• Terms means these terms and conditions.
• Vulnerable Person/s means any individual under the age of 18, or any person who may be unable to take care of themselves or protect themselves against harm or exploitation.
• We, us, our means Jesus Youth Australia and includes its directors, employees, volunteers, contractors, and authorised representatives.
• Website means www.jesusyouth.org.au and www.chosenconference.org.au.
• You, your, Participant/s means each person who registers for or attends the Conference and, where the context requires, includes each person in your group.
• Young Couple/s means a married couple, both of whom are over the age of 18, married for up to 5 years.
• Young Participant/s means any Participant under the age of 18.

2. Condition of Entry

It is a condition of registration and attendance at the Conference and entry to any Conference Site that each Participant:

• (a) complies in full with these Terms. We reserve the right to refuse entry to any person or to remove any person from any Conference Site if they fail to comply with these Terms; and
• (b) holds a valid registration confirmation or other permission from JY Australia to attend the Conference.

3. Age Restrictions and Supervision

3.1 The Conference is open to Participants aged 16 to 35 as at 19 November 2026.

3.2 Young Participants must at all times be accompanied and supervised by a responsible parent, guardian, or Group Leader when attending the Conference and at any Conference Site.

3.3 Young Participants can only attend the Conference if they register as part of a Group. The Group Leader must register the Young Participant and individual registration is prohibited for Young Participants.

3.4 By registering a Young Participant, or purchasing a place on behalf of a Young Participant, you acknowledge and agree that:

• (a) you are responsible for the care, safety, wellbeing, and supervision of that Young Participant at all times when they are attending the Conference and present at the Conference Site;
• (b) you will comply with all safeguarding and other laws relevant to their care;
• (c) you will not transfer responsibility for the care, safety, wellbeing, and supervision of that Young Participant (other than to the Young Participant's parent or guardian or to another Group Leader);
• (d) you have satisfied yourself as to the Young Participant's suitability to attend the Conference, taking into account the Conference's duration, environment, and Catholic focus; and
• (e) you have considered the health, medical, and additional needs of the Young Participant and have obtained all necessary permissions from their parents or guardians for participation, including consent for first aid to be administered and the management of any known medical conditions (e.g. anaphylaxis, asthma, diabetes, dietary requirements).

4. Safeguarding

Each Participant who is over the age of 18 acknowledges and agrees that they:

• (a) have a responsibility to uphold the safety, dignity, and wellbeing of all Vulnerable Persons attending the Conference and to behave in a manner consistent with relevant policies, regulations, and laws;
• (b) understand their obligations under applicable safeguarding laws, including reportable and/or mandatory reporting requirements (including any requirements to report any reasonable concerns, disclosures, or observations of harm, abuse, or neglect);
• (c) will take immediate and appropriate action if they observe behaviour that is unsafe, abusive, or inappropriate, and will report any concerns to the designated Conference safeguarding personnel or relevant authority; and
• (d) will cooperate with any safeguarding procedures, briefings, guidelines, directions, or instructions provided by us.

5. Registration

5.1 You must register via our online registration form.

5.2 Each registration constitutes a separate contract with us.

5.3 Completion of the online registration form will reserve a position for your attendance at the Conference. Your registration will only be complete and valid once the Registration Fee is paid in full.

5.4 We are not bound to accept any registration and may decline any registration at our sole discretion, including where all required information has not been provided.

5.5 You acknowledge and agree that all information submitted by you or any Participant during registration is true and correct.

5.6 To be permitted entry to the Conference and any Conference Site, a Participant must present their registration confirmation to JY Australia Personnel at the Conference.

5.7 If requested by JY Australia Personnel, a Participant must present photo identification upon entry to a Conference Site.

5.8 If a registration was made or obtained fraudulently, or if we reasonably suspect it was obtained fraudulently or is being used in a fraudulent or illegal manner, we reserve the right to decline or revoke that registration. No refund of Registration Fees will be provided where registration is revoked on these grounds.

5A. Clergy and Ministry Professionals

5A.1 This clause applies to any Participant who is a member of the clergy, a religious (including those in religious orders), or any person attending in a formal ministry or pastoral capacity (Clergy and Ministry Professionals).

5A.2 Prior to attending the Conference, all Clergy and Ministry Professionals must complete Jesus Youth Australia's professional standards process. This includes completing all professional standards documentation issued by Jesus Youth Australia and receiving written approval from Jesus Youth Australia confirming they are approved to attend.

5A.3 Jesus Youth Australia will issue professional standards documentation directly to all relevant Clergy and Ministry Professionals prior to the Conference. It is the responsibility of the Clergy or Ministry Professional (or the person registering on their behalf) to ensure this process is completed before the Conference commences.

5A.4 We reserve the right to decline or revoke the registration of any Clergy or Ministry Professional who has not completed the professional standards process or who has not received written approval from Jesus Youth Australia, regardless of whether a Registration Fee has been paid. No refund will be provided where registration is revoked on these grounds.

6. Payment

6.1 Registration Fees are set out in the registration form and may differ based on:

• (a) Participant type;
• (b) state of residence; or
• (c) registration period.

6.2 All Registration Fees are in Australian dollars (AUD) and are inclusive of GST where applicable, unless otherwise stated.

6.3 Registration Fees will be at a discounted rate (Early Bird Fee) until 11:59pm on 30 June 2026. Early Bird Fees are only applicable to individual Participant registrations.

6.4 Participants can register as part of a group (Group Registrations) from 9:00am on 1 July 2026. A group discount applies for groups of 10 or more Participants from the same state.

6.5 Participants can pay the Registration Fee in instalments through a formal request to info@chosenconference.org.au. A confirmed payment plan (Payment Plan) must be strictly adhered to. All Payment Plans must be completed in full by 1 November 2026. Being in default of the Payment Plan, including failure to complete payment by 1 November 2026, may lead to your registration being revoked. If your registration is revoked on these grounds, we reserve the right to retain any monies paid to us under the Payment Plan.

6.6 Where a deposit is paid at registration and accepted by us, the balance must be paid by the date specified in your registration confirmation. If full payment is not received by the due date, your registration may lapse and your deposit forfeited.

6.7 We do not store credit card information. All transactions are handled by a secure third-party payment processor. Payments may be subject to additional third-party processing fees.

7. Cancellation and Refunds

7.1 The following provisions are subject to any rights you may have under the Australian Consumer Law.

7.2 You may cancel your registration at any time by written notice to us via email to info@chosenconference.org.au. You may be entitled to a refund of any monies paid, subject to clause 7.3.

7.3 If you cancel your registration:

• (a) before 21 August 2026, you will be entitled to a refund of 75% of the Registration Fee paid or any monies paid under a Payment Plan;
• (b) between 22 August 2026 and 21 October 2026, you will be entitled to a refund of 50% of the Registration Fee paid or any monies paid under a Payment Plan; or
• (c) after 21 October 2026 (Refund Cut-Off Date), subject to clause 7.4, we may retain all of the Registration Fee paid or any monies paid under a Payment Plan.

7.4 If you wish to cancel after the Refund Cut-Off Date and believe there are special or extenuating circumstances, you may apply to us for consideration via email to info@chosenconference.org.au. Any relief granted is at our sole and absolute discretion.

7.5 We may deduct a reasonable amount for administration, processing, and booking fees from any refund.

8. Rescheduling, Suspension, and Cancellation

8.1 Where reasonably necessary for operational, safety, security, or financial reasons, we reserve the right to cancel, reschedule, or suspend any part or all of the Conference, including without limitation as a result of a Force Majeure Event.

8.2 We will endeavour to provide you with reasonable prior notice of any cancellation, rescheduling, or suspension, but this may not always be possible.

8.3 If we cancel the Conference due to circumstances within our control (such as venue unavailability or insufficient numbers), we will notify you as soon as reasonably possible and offer you a full refund or the option to rebook.

8.4 If we cancel the Conference due to a Force Majeure Event, subject to any rights you may have under the Australian Consumer Law, you will not be entitled to a refund of the Registration Fee or any monies paid under a Payment Plan.

9. Change of Conference Events

We reserve the right to change any published sessions, speakers, activities, or schedule for the Conference and will endeavour to provide you with reasonable prior notice of any such changes. Changes to the program do not entitle you to a refund of the Registration Fees or any monies paid under a Payment Plan.

10. Acknowledgments

10.1 Each Participant acknowledges and agrees that:

• (a) the Conference may include a range of activities, including but not limited to indoor and outdoor group activities, prayer and formation sessions, Mass and other liturgical celebrations, Eucharistic Adoration, social gatherings, workshops, rallies, expos, and listening to talks or presentations by speakers and others;
• (b) each Conference Site is a public venue;
• (c) it is the Participant's responsibility to:
  • (i) arrange accommodation during the Conference and transport to and from each Conference Site. We do not accept responsibility for losses any Participant may incur for flights, accommodation, or other travel arrangements;
  • (ii) arrange and take out any relevant insurance policy in relation to attendance at the Conference; and
  • (iii) if the Participant is a Group Leader, supervise the Participants in their group whilst at the Conference;
• (d) if you have any medical condition, you must consult a medical practitioner to confirm you are fit to attend and participate in the Conference;
• (e) we reserve the right to refuse entry to any Conference Site to any person who does not hold a valid registration or who is in breach of these Terms;
• (f) we may request any person in breach of these Terms to leave any Conference Site, and upon such request that person must immediately leave and not return to the Conference Site. If a Participant is found to be in breach of these Terms their registration is immediately revoked, and such revocation will not entitle the Participant to a refund of any monies paid to us; and
• (g) JY Australia Personnel are entitled to take appropriate action to enforce these Terms and any other of Jesus Youth Australia's policies, guidelines, instructions, directions, and warnings.

10.2 Each Participant must not possess, consume, use, or be under the influence of:

• (a) any tobacco products, e-cigarettes, or vapes;
• (b) alcohol or drugs (other than prescription medication required for a medical condition, used only as required); or
• (c) any weapons, firearms, fireworks, or other items which may reasonably be considered dangerous at any time during the Conference and while at the Conference Site, or near the entrance and exits of the Conference Site.

If any Participant is found to be in, or if any JY Australia Personnel reasonably believes that a Participant possesses, consumes, uses, or is under the influence of any of the above, we reserve the right to decline access to any Conference Site and/or require the Participant to immediately leave the Conference, revoke their registration, and such revocation will not entitle the Participant to a refund of any monies paid to us.

10.3 Inspections. JY Australia Personnel may inspect, search, or scan a Participant's belongings upon entry to a Conference Site and each Participant agrees to accommodate any reasonable requests in respect of such inspection or search. If a Participant fails to submit to any inspection or search, we may cancel the Participant's registration and refuse entry to the relevant Conference Site without providing a refund of any monies paid to us or any other compensation.

10.4 JY Australia Personnel may confiscate any of a Participant's belongings which they reasonably deem may be harmful to the safety and welfare of persons at the Conference. Confiscated belongings may be collected by the relevant Participant when they leave the Conference.

11. Conduct at the Conference

11.1 If we reasonably consider that any Participant has breached or not complied with any requirement under this clause 11, we may:

• (a) require the Participant to leave any Conference Site immediately and not return to the Conference, with no entitlement to a refund of any monies paid to us or other compensation; and
• (b) in the case of suspected unlawful conduct, report the matter to the relevant authorities (including local or federal police).

11.2 Each Participant is to participate in Conference activities in the spirit of the Conference and the Catholic faith.

11.3 While at the Conference or at any Conference Site each Participant must:

• (a) conduct themselves in accordance with Catholic and Christian values through language, appearance, and behaviour, including but not limited to:
  • (i) behaving with common sense, politeness, and cooperation;
  • (ii) treating everyone with respect, integrity, courtesy, dignity, and consideration;
  • (iii) being mindful that they represent their group, parish, school, diocese, or organisation as well as their family and state or territory;
  • (iv) complying with all laws (including all safeguarding policies and laws for Vulnerable Persons); and
  • (v) respecting the values, teachings, and doctrines of the Catholic Church;
• (b) abide by all reasonable and lawful written and verbal policies, instructions, directions, and warnings given by JY Australia Personnel;
• (c) abide by all emergency plans and evacuation routes appropriate to each Conference Site;
• (d) retain their registration confirmation and show it to JY Australia Personnel upon request;
• (e) be responsible for their own personal property; and
• (f) take appropriate care of their own safety and the safety of others.

11.4 While at the Conference or at any Conference Site each Participant must not:

• (a) create or cause a nuisance;
• (b) behave in a way that may adversely affect other people's enjoyment;
• (c) dress immodestly or in clothing that displays offensive, inappropriate, or obscene writing or images;
• (d) engage in any illegal, abusive, offensive, disruptive, or indecent conduct;
• (e) use indecent, offensive, rude, or obscene language or threatening or insulting words, or otherwise behave in a threatening, abusive, riotous, or insulting manner;
• (f) engage in any form of sexual activity or sexual harassment;
• (g) engage in any form of physical abuse;
• (h) interfere with, protest, obstruct, or hinder the holding of the Conference;
• (i) act unsafely towards themselves or others;
• (j) leave any litter or rubbish other than in designated bins;
• (k) use or operate any drone or similar aircraft; or
• (l) use any large or professional video or photography equipment (including tripods or freestanding lighting equipment) without our prior written approval.

11.5 While at any Conference Site, each Participant must comply with any health or infection control protocols or requirements notified by Jesus Youth Australia or JY Australia Personnel.

12. Lost, Stolen, or Damaged Property

12.1 We do not take any responsibility for any personal items or property that are lost, damaged, or stolen at any Conference Site. We recommend that valuable items are left in a secure place and not brought to the Conference.

12.2 While at the Conference or any Conference Site, each Participant must keep their personal belongings close at all times and respect the property of other Participants and third parties.

12.3 We do not guarantee that it will be possible to identify or contact the owner of all lost property. We may sell or donate any unclaimed lost property to a charity nominated by us if that property has not been claimed within three months of it being identified to us.

13. Use of Image and Participant-Generated Content

13.1 Photographs, videos, and sound recordings may be taken by a Participant at the Conference or at any Conference Site only for private, non-commercial purposes and may not be commercially exploited.

13.2 You must not take photographs, videos, or recordings of any person or part of the Conference without the prior permission of the individuals concerned.

13.3 If a Participant uploads, publishes, or disseminates any user-generated content taken or made at the Conference or any Conference Site (including photographs, video recordings, or sound recordings) to any social media or digital media platform, the Participant must ensure that such content is not inappropriate and does not embarrass the Participant or any other person.

13.4 Each Participant agrees, consents to, and authorises us and our contractors to film, record, and/or photograph the Participant's image, likeness, and voice (Image), and to the use and commercial use or application of the Image (including reproduction of the Image in any audio, video, or photographic display, or other transmissions, exhibitions, publications, or reproductions in any print or online medium) by Jesus Youth Australia and its related entities for all purposes including, but not limited to, marketing and promotional activities, security, or any activity related to Jesus Youth Australia's business, without further authorisation by, or compensation or attribution to the Participant, on a perpetual, irrevocable, royalty-free, and worldwide basis. All recordings of any Image are our sole property and each Participant releases us from liability arising on account of such usage.

14. Intellectual Property

14.1 All custom graphics, icons, logos, brand names, and service names are trademarks or copyright of Jesus Youth Australia (registered or unregistered).

14.2 All other trademarks appearing on the Website belong to their respective owners. Nothing in these Terms grants you any right to use our trademarks, logos, or name.

14.3 You must obtain our prior written permission before reusing any copyrighted material from the Website or produced in connection with the Conference. Unauthorised use may result in legal action.

15. Limitation of Liability

15.1 If a Participant is a Consumer (as defined in section 3 of the Australian Consumer Law) and Jesus Youth Australia supplies PDH Goods or Services to the Participant, Jesus Youth Australia acknowledges that the Participant may have certain rights under the Australian Consumer Law in respect of Consumer Guarantees, and nothing in these Terms should be interpreted as attempting to exclude, restrict, or modify the application of those rights.

15.2 If any goods or services supplied by Jesus Youth Australia are non-PDH Goods or Services, Jesus Youth Australia's liability in connection with any breach of Consumer Guarantees in respect of those non-PDH Goods or Services is limited (at Jesus Youth Australia's discretion) to the resupply of the services or the payment of the cost of having the services supplied again.

15.3 Subject to clause 15.1, to the extent permitted by law, our total aggregate liability to any Participant in connection with any claims arising from these Terms (other than claims relating to Consumer Guarantees) will be limited to no more than the Registration Fee paid by that Participant. We will not be liable for any Consequential Loss.

15.4 We act only as a facilitator and are not responsible for the acts or omissions of third-party providers, including venues, transport providers, or suppliers of food or activities.

16. Risk Acknowledgment, Release, and Indemnity

16.1 You individually and on behalf of each Participant voluntarily accept and assume the risks of attending the Conference and attending any Conference Site (including inherent and obvious risks) and agree to take all reasonable steps to avoid injury while at any Conference Site, to yourself, any Participants, JY Australia Personnel, and any third parties.

16.2 Subject to clause 15.1, to the maximum extent permitted by law, you and each Participant attend the Conference and enter each Conference Site at their own risk, and you yourself and on behalf of each Participant indemnify, release, and hold Jesus Youth Australia and its officers harmless from and against:

• (a) all claims which you or another Participant may have against a third party (including any owner or operator of any Conference Site) in connection with attendance at the Conference; and
• (b) all claims, damages, compensation, liabilities, costs, legal costs, and losses incurred or suffered by you or a Participant arising from any damage, loss, theft, death, or injury occurring at the Conference or at any Conference Site.

17. Group Leaders

17.1 If you are a Group Leader, you acknowledge that:

• (a) you have provided these Terms to each Participant you have registered on behalf of;
• (b) each Participant in your group has read and understood these Terms and agrees to be bound by them; and
• (c) you are responsible for the conduct and supervision of all Participants in your group, including Young Participants, while at the Conference and any Conference Site.

17.2 Group Leaders must comply with any Group Leader guidelines or materials produced by Jesus Youth Australia from time to time.

18. Marketing

By registering for the Conference, you agree to receive marketing communications and updates from us. You may opt out at any time by contacting us at info@chosenconference.org.au.

19. Privacy

We are committed to protecting your privacy in accordance with the Australian Privacy Principles. Each Participant acknowledges and agrees that their personal information may be collected, held, used, and disclosed by us or our related entities for the purposes set out in our Privacy Policy, available on our Website. We do not sell or trade your personal information.

20. Events Outside Our Control

20.1 We will not be liable for any failure to perform or delay in performing any of our obligations under these Terms if that failure or delay is due to a Force Majeure Event.

20.2 If a Force Majeure Event occurs, we may immediately suspend or cancel all or part of the Conference and terminate the agreement between us and you by notice to you without any liability, subject to any rights you may have under the Australian Consumer Law.

21. Variation of These Terms

21.1 We may, in our discretion (acting reasonably), vary these Terms at any time prior to the Refund Cut-Off Date.

21.2 Should these Terms be varied, we will promptly notify all registered Participants of the variation on our Website.

21.3 If the variation to the Terms is substantial in nature, refunds will be provided to those who have registered and do not agree to be bound by the newly varied Terms. An assignment of these Terms does not amount to a variation.

22. Cancellation and Termination by Us

We may, at our sole discretion, terminate or suspend your registration or remove you from the Conference at any time, with or without notice, for any reason, including breach of these Terms. We are not liable for any claims or damages arising from the termination of your registration or removal from the Conference. No refund will be provided in such cases.

23. Website Services

We do not warrant that our Website or Services will be uninterrupted, secure, or error-free. We will use reasonable endeavours to keep the Website available and virus-free, but this cannot be guaranteed. You agree not to transmit any viruses, malware, or unsolicited material, and not to use the Services in any way that damages, disables, or overburdens the Website or is unlawful.

24. No Waiver

No failure to exercise or delay in exercising any right given by or under these Terms constitutes a waiver and we may still exercise that right in the future.

25. Governing Law

These Terms are governed by the laws in force in Victoria and each party submits to the non-exclusive jurisdiction of the courts of Victoria.
